Salary/Hourly Rate:
$80k – $95k
Position Overview:
Our client is looking for an Executive Assistant to support the Design and Construction team, specifically the Vice President and Sr. Vice President. The Executive Assistant is responsible for administrative duties associated with projects and general office support for the executive team.
Responsibilities of the Executive Assistant:
- Schedule appointments and heavy calendar management. Manage a busy and ever-changing calendar, and prioritize appointments with the executive’s prior clearance.
- Handle incoming phone calls, greet guests, answer phones, and coordinate conference rooms and meal arrangements.
- Plan travel arrangements and changes including airline reservations, hotel accommodations, and car service arrangements.
- Act as gatekeeper and primary point of contact between executives, managers, and visitors, as required.
- Bridge for smooth communication between all internal departments and external contacts.
- Screen telephone calls and announce each caller.
- Ensure the executives are prepared for all meetings by keeping them on schedule and providing necessary materials.
- Prepare expense reports and liaise with Finance, as necessary.
- Develop relationships with executive contacts, and gain recognition as a team resource.
- Assist with personal duties, as needed.
- Perform ad hoc projects, as needed.
Qualifications for the Executive Assistant:
- A minimum of 3 years of relevant experience as an Executive Assistant or a high-level Administrative Project Manager Assistant.
- Strong communication skills, both written and verbal.
- Excellent professional demeanor with the ability to work with a wide range of levels and management.
- Keen attention to detail.
- Must possess strong organizational skills.
- Comfortable working in a fast-paced environment, ability to multi-task, shift direction easily, and prioritize.
- Good judgment, discretion, and strong discipline.
- Experience in a role that requires a high level of discretion with confidential information.
- Team player, self-starter.
- Strong proficiency with Microsoft Office Applications.
- Experience working in a corporate environment is highly preferred.
- Strong communication skills, both verbal and written.
Education Requirements:
- Bachelor’s degree is preferred.
