Position Overview:

We are seeking a detail-oriented Payroll Specialist to join our Payroll team, responsible for processing multiple weekly and semi-monthly payrolls, including Canadian payrolls, for our client sites and temporary roles across the country. The ideal candidate will have experience using Bullhorn and other HR/Payroll systems to ensure accurate payroll processing and reporting.

Responsibilities of the Payroll Specialist:

  • Process payroll for associates from onboarding through termination, ensuring accurate integration of data from Bullhorn, eRecruit, Avionte, and Great Plains.
  • Adhere to payroll timelines, processing weekly and semi-monthly payrolls for both nonexempt and exempt employees.
  • Verify work hours pulled from Bullhorn and other timekeeping systems, as well as imported data from third-party vendors.
  • Handle VMS/MSP/1099/W2 payrolls, ensuring all payroll classifications are correctly processed.
  • Ensure compliance with various laws, including Paid Sick Time, paycheck terminations (e.g., CA), and overtime laws (e.g., RI/CA).
  • Audit payroll data for accuracy, identifying and resolving discrepancies as they arise.
  • Collaborate with Accounting, HR, and Accounts Receivable teams to maintain payroll and billing data integrity.
  • Process garnishments and respond to related legal orders.
  • Reconcile weekly tax filings and ensure all taxes are accurate and up to date.
  • Maintain associate records, including direct deposit, address updates, and tax edits.
  • Respond to payroll-related inquiries via email and phone, providing timely resolutions.
  • Assist with year-end reporting, including W2 preparation and other payroll-related tasks.
  • Support other payroll functions and ad-hoc projects as directed by the manager.

Required Experience/Skills for the Payroll Specialist:

  • At least 3 years of payroll experience, with a focus on Bullhorn or similar payroll systems.
  • Ability to multi-task and work efficiently in a fast-paced environment, especially within a temporary staffing context.
  • Proficiency in Microsoft Office, particularly Excel, for reporting and audits.
  • Ability to audit, create reports, and perform complex data queries.
  • Strong understanding of multi-state, local, and federal tax laws, as well as payroll regulations.
  • Analytical mindset with the ability to research compliance issues and make informed decisions.
  • Ability to handle confidential payroll information with a high degree of integrity.
  • Detail-oriented with strong organizational and follow-up skills.

Preferred Experience/Skills for the Payroll Specialist:

  • Experience with computerized payroll systems such as Bullhorn, Great Plains, and eRecruit.

Physical Requirements:

  • Ability to sit for extended periods of time.

Education Requirements:

  • Bachelor’s degree is required.
