Client Overview:

Our client is a leading global financial services firm providing a wide range of investment banking, securities, wealth management, and investment management services. They are committed to delivering excellence and innovation to their clients worldwide. They have offices in major financial centers around the globe. They are looking to add an Executive Assistant to their team.

Position Overview:

The Executive Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and communication within the organization. The ideal candidate is detail-oriented, highly organized, and capable of managing multiple tasks simultaneously.

Responsibilities of the Executive Assistant: 

  • Administrative Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Serve as the primary point of contact between executives and internal/external stakeholders. Handle all communication professionally and confidentially.
  • Document Preparation: Prepare, edit, and distribute various documents, including presentations, reports, and correspondence.
  • Meeting Coordination: Organize and coordinate executive meetings, including preparing agendas, taking minutes, and following up on action items.
  • Project Management: Assist in managing and tracking various projects, ensuring deadlines are met and resources are allocated effectively.
  • Event Planning: Plan and coordinate company events, meetings, and conferences, both on-site and off-site.
  • Expense Management: Handle expense reports and reimbursements, ensuring accuracy and compliance with company policies.
  • Office Management: Oversee office supplies and equipment, maintaining an organized and efficient work environment.

Required Experience/Skills for the Executive Assistant: 

  • Experience supporting multiple people.
  • Investment banking experience. 
  • 7 – 10 years of Executive Assistant experience.

Preferred Experience/Skills for the Executive Assistant: 

  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with integrity and discretion.
  • Strong problem-solving skills and attention to detail.

Education Requirements:

  • Bachelor’s degree is preferred.
