Our client, a real estate investment company, is a leading firm specializing in the acquisition, development, management, and disposition of high-quality real estate assets. With a strong focus on delivering superior returns to its investors, it leverages extensive market expertise and a strategic approach to identify and capitalize on lucrative investment opportunities across diverse property types and geographies. They are now looking for an Office Administrator to join their team!
Salary/Hourly Rate:
$30/hr – $35/hr
Position Overview:
The Office Administrator will be responsible for ensuring the smooth operation of office functions and providing administrative support to various departments. This Office Administrator role includes managing office supplies, coordinating meetings, handling correspondence, and assisting with other clerical tasks.
Responsibilities of the Office Administrator:
- Administrative Support: Answer and direct phone calls and emails. Greet and assist visitors to the office. Schedule and coordinate meetings, appointments, and travel arrangements. Prepare and distribute correspondence, memos, and reports.
- Office Management: Maintain office supplies inventory by checking stock and ordering new supplies as needed. Ensure the office is clean, organized, and well-maintained. Liaise with facility management vendors, including cleaning, catering, and security services.
- Record Keeping: Maintain and update company databases and filing systems. Handle confidential information with discretion. Manage and organize physical and electronic documents, ensuring they are accessible and secure.
- Financial Support: Assist in the preparation of budgets and financial reports. Process invoices, receipts, and other financial documents. Assist with payroll and other financial tasks as needed.
- Human Resources Support: Assist with recruitment processes, including posting job openings and scheduling interviews. Maintain employee records and assist with onboarding new staff. Organize and coordinate staff training sessions and activities.
Required Experience/Skills for the Office Administrator:
- 3+ years of previous office experience.
- Experience with scheduling.
- Proven experience as an office administrator, office assistant, or relevant role.
- Familiarity with office management procedures and basic accounting principles.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
Education Requirements:
- Bachelor’s degree preferred.
