Client Overview:

Our client is a fast-paced, deadline-driven company in Alpharetta, GA, seeking an organized and dependable temp-to-hire Virtual Mailroom Associate to join their team and support the daily mailroom and fulfillment operations.

Salary/Hourly Rate:

$18hr and increased pay is available once permanently hired

Position Overview:

The temp-to-hire Virtual Mailroom Associate will play a key role in managing mailroom operations alongside a dedicated team, ensuring the efficient and accurate processing of all incoming, outgoing, and interoffice mail. This position requires strong teamwork, excellent computer proficiency, expertise in scanning, PDF conversion, data entry, and exceptional attention to detail. While the Virtual Mailroom Associate role is primarily remote, candidates must be available for on-site training and occasional company meetings at the Alpharetta, GA office/mailroom. This position offers the opportunity to transition into a permanent role.

Responsibilities of the Virtual Mailroom Associate:

  • Ensure all fulfillment mail jobs are completed properly and on time.
  • Log, sort, and deliver all incoming and interoffice mail.
  • Monitor and report on mailroom inventory.
  • Manage the mail process for bulk mailings.
  • Troubleshoot mailroom equipment malfunctions.
  • Identify potential barriers to timely fulfillment and report issues to the supervisor or manager.
  • Adhere to daily processing goals and metrics.
  • Perform quality assurance on fulfillment work performed by the team.
  • Assist in researching and resolving customer issues.
  • Prepare ad hoc reporting regarding fulfillment activities.
  • Support training for new staff.
  • Create cases utilizing the internal CRM system.
  • Create and maintain a service request database.
  • Assist with scanning of checks and other documents.
  • Utilize various software and databases including Portal, BPM, CRM, and third-party vendor sites.
  • Assist in processing verification and triage processes for multiple programs.
  • Manage support ticket bins to process fulfillment requests.
  • Perform other duties as assigned.

Required Experience/Skills for the Virtual Mailroom Associate:

  • Previous mailroom experience, preferably in a “Digital Mailroom” operation that includes high-speed scanning and check printing.
  • Outstanding teamwork skills.
  • High-energy, hands-on employee who thrives in a fast-paced work environment.
  • Ability to grasp new concepts and ideas quickly.
  • Advanced competency with Microsoft Office 365 (Excel, Word, and Outlook) and moderate competency with Adobe Pro.
  • Exceptional verbal and written communication skills.
  • Excellent accuracy, attention to detail, and multi-tasking capability. 

Preferred Experience/Skills for the Virtual Mailroom Associate:

  • Experience in a mailroom or office setting in a deadline-driven environment.
  • Experience with CRM systems and fulfillment processing.

Education Requirements:

  • High school diploma or equivalent is required.
