Salary/Hourly Rate:

$75k – $80k

Position Overview:

We are actively seeking a motivated and experienced Commercial Property Administrator to manage the day-to-day operations of our client’s Fremont properties. This role will oversee three locations: Fremont, San Jose, and Hayward, CA. The main site is located in Fremont, and the ideal candidate will have prior experience in commercial real estate property management. The Commercial Property Administrator will be responsible for ensuring operational efficiency and profitability at these properties, with an emphasis on retail and mixed-use spaces. This is a direct hire position with an immediate start and the potential for a permanent role.

Responsibilities of the Commercial Property Administrator:

  • Optimize property cash flow by managing CAM expenses, identifying cost-saving opportunities, and driving profitability.
  • Oversee and enforce compliance with service contracts, vendor agreements, and property operations.
  • Conduct detailed property inspections to assess maintenance needs, safety, and regulatory compliance.
  • Manage the physical plant, including overseeing maintenance projects, vendor bidding, signage, and capital improvements.
  • Handle tenant relations, including addressing concerns, managing tenant collections, and ensuring overall satisfaction.
  • Ensure timely review and approval of invoices for operational and maintenance expenses.
  • Collaborate with the Marketing Department on tenant events, advertising, and overall property branding.
  • Support capital expenditure initiatives in partnership with the Construction Manager and/or tenant improvement teams.
  • Assist with special projects and operational improvements as needed.

Required Experience/Skills for the Commercial Property Administrator:

  • 1 – 2+ years of experience in commercial real estate property management, ideally in retail or mixed-use properties.
  • Proficiency in Microsoft Office Suite and property management software (MRI, Kardin, Avid Exchange).
  • Strong experience in budgeting, financial reporting, and expense management within a commercial real estate setting.
  • Skilled in negotiating maintenance contracts and managing vendor relationships.
  • Strong organizational and time management skills, with the ability to handle multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with a customer-focused approach.
  • Detail-oriented and able to apply strategic problem-solving in day-to-day operations.
  • Self-starter with a proactive approach to managing property operations and tenant satisfaction.

Education Requirements:

  • Bachelor’s degree in Real Estate, Business, Finance, or a related field is required.
