Position Overview:

This Customer Service Associate is pivotal in ensuring the smooth processing of customer orders and maintaining high levels of customer satisfaction. The ideal candidate for the Customer Service Associate role will possess strong technical skills, a keen eye for detail, and the ability to communicate effectively with various stakeholders. 

Responsibilities of the Customer Service Associate: 

  • Accurately Enter Customer Purchase Orders: Utilize SAP software to accurately input customer purchase orders, ensuring all details are correct and up-to-date. Meticulously verify information to minimize errors and maintain data integrity.
  • Coordinate Shipping with the Warehouse: Collaborate closely with the warehouse team to ensure timely and efficient shipping of customer orders. Monitor the shipping process to address any issues promptly and ensure customer satisfaction.
  • Send Sales Order Confirmations: Prepare and send sales order confirmations to customers, providing them with accurate details about their purchases and expected delivery timelines.
  • Work with Factories and Purchasing Department: Act as a liaison between factories, purchasing department, and customers to order nonstock items. Ensure timely procurement and delivery of special order products to meet customer needs.
  • Process Returns Promptly: Handle returns efficiently by processing them on time. Update relevant teams and systems to reflect returned items and ensure accurate customer accounts.
  • Handle Phone and Email Inquiries: Provide exceptional customer service by addressing inquiries via phone and email. Offer direct support to resolve issues or redirect inquiries to the appropriate department for further assistance.
  • Build Strong Relationships: Develop and maintain strong relationships with customers, sales teams, and internal departments. Foster a positive and collaborative working environment to enhance customer satisfaction and team synergy.

Required Experience/Skills for the Customer Service Associate: 

  • Strong Written and Verbal Communication Skills: Ability to write clear, professional emails and communicate confidently over the phone.
  • Highly Organized: Exceptional organizational skills with the ability to manage multiple tasks and priorities efficiently. Detail-oriented and able to handle a high volume of work without compromising quality.

Preferred Experience/Skills for the Customer Service Associate:

  • Proficiency in Microsoft Office and SAP: Demonstrated proficiency in Microsoft Office Suite, particularly Excel and Outlook. Experience with SAP is preferred, but not mandatory.

Education Requirements:

  • Bachelor’s degree is strongly preferred.
