Client Overview:
We are working with a dynamic property management company, committed to delivering excellence in managing commercial properties. Their properties include prime retail and mixed-use spaces where they focus on tenant satisfaction, operational efficiency, and property profitability. The team is now seeking a Property Administrator to join their team.
Salary/Hourly Rate:
$23/hr – $25/hr
Position Overview:
We are seeking an immediate Property Administrator to oversee the day-to-day operations of the Fremont properties in Fremont, CA. This Property Administrator position will start immediately and could transition into a temp-to-hire opportunity. The role involves managing property operations, tenant relations, vendor management, and maintenance, ensuring all processes run smoothly and efficiently. The Property Administrator will also assist with budgeting, overseeing capital expenditures, and supporting marketing initiatives.
Responsibilities of the Property Administrator:
- Manage and optimize property cash flow by controlling CAM expenses and identifying cost-saving opportunities as a Property Administrator.
- Help service providers and ensure compliance with contracts and service agreements.
- Conduct daily property inspections to identify maintenance needs and safety hazards.
- Oversee the physical plant, including property inspections, bidding contracts, signage approval, and capital improvement projects.
- Resolve property management issues and manage tenant collections and balances.
- Ensure excellent customer service by addressing tenant needs and resolving building issues swiftly.
- Review and approve invoices for operating expenses and maintenance work orders.
- Manage capital expenditure projects with the Construction Manager and/or Tenant Improvement team.
- Collaborate with the Marketing Department on developing and implementing marketing plans and overseeing events at assigned properties.
- Support special projects and initiatives as required.
Required Experience/Skills for the Property Administrator:
- 1 – 2 years of relevant experience in retail property management.
- Proficiency in Microsoft Office suite, MRI, Kardin, and Avid Exchange.
- Strong background in budgeting, expense monitoring, financial reporting, and accounts payable.
- Experience in negotiating and managing maintenance projects and service contracts.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills, detail-oriented.
- Ability to apply logical thinking to resolve problems and initiate appropriate actions.
- Motivated self-starter with the ability to multitask in a fast-paced environment.
- Flexible and able to work in an entrepreneurial setting.
Education Requirements:
- Bachelor’s degree in a related field (Real Estate, Business, Finance, Accounting, etc.) is required.
